How to Add Molen & Associates as Your Accountant in QuickBooks Online (QBO)

If you use QuickBooks Online, one of the best things you can do to make bookkeeping, clean-up, and tax planning smoother is to invite your accountant directly into your file.

When you add Molen & Associates as an accountant user, we can:

  • Review your books more efficiently

  • Make corrections when needed

  • Help with bookkeeping issues faster

  • Prepare your tax return with better accuracy

  • Use accountant-specific tools designed to keep your books clean

The best part?
✅ Accountant users do NOT count toward your user limit in QuickBooks Online.


Before You Start (Quick Check)

You must have one of these access levels:

  • Primary Admin, or

  • Company Admin

If you’re unsure, try following the steps below — QuickBooks will let you know if access needs to be adjusted.


Step-by-Step: Invite Molen & Associates as Your Accountant

1️⃣ Sign Into QuickBooks Online

Log into your QuickBooks Online account using your admin login.

2️⃣ Go to Manage Users

  • Click Settings ⚙️ (top right corner)

  • Select Manage Users

3️⃣ Open the Accountants Tab

Inside Manage Users:

  • Click Accountants or Accounting Firms

4️⃣ Invite Our Firm

  • Select Invite firm

  • Enter the cboyd@molentax.com (or whatever email address provided by your Molen & Associates advisor

5️⃣ Send the Invitation

Click Send Invitation.

That’s it 👍


What Happens Next?

Once you send the invite:

✔️ We receive an email invitation
✔️ We accept access to your company file
✔️ Your user status will update from Invited → Active

After that, we can immediately begin reviewing or working on your books.

Yes. You can remove or adjust access anytime inside Manage Users.

Can I invite more than one accounting firm?

Yes — but if you need more than two accountant firms, QuickBooks recommends upgrading to QuickBooks Online Advanced.
